IMPORTANT INFORMATION RE: Study Leave
Please note that applications for study leave and any associated funding or expenses must be submitted prospectively.
Retrospective requests cannot be approved, and study leave or funding will not be granted without prior application. Further information is provided below.
First please read the documents below re: use of your annual and study leave entitlement as an MFT Foundation Doctor, and how study leave funding is allocated in F2.
Please allow a minimum of two weeks for us to turn your application around particularly at busy times
The procedure for claiming Study Leave expenses has been recently updated. The update introduces an earlier, more flexible route for claiming study‑leave expenses so that resident doctors can be reimbursed as soon as possible after costs are incurred, rather than only after attending the course.
What has changed:
The policy now aligns with point 8 of the 10‑point plan by shifting reimbursement to the point of confirmed approval, not course completion. Once a resident doctor receives confirmation of study leave from the Foundation Team, they may immediately submit their expense claim.
How the new process works:
Submit your claim as soon as study leave is approved, even if the course has not yet taken place.
When entering the claim in Easy, use the date of submission as the course date because the system cannot accept future dates.
Include full details of the actual course dates and any other relevant information to support the claim.
Reasons for the change:
This change operationalises point 8 of the 10‑point plan by ensuring:
Reimbursement can occur within 4–6 weeks of claim submission, rather than after course attendance.
Resident doctors are not left out of pocket for extended periods.
Administrative barriers to timely reimbursement are reduced.
Now read the following process map which guides you through the necessary steps to book study leave or a taster week.
